TITLE: Vice President/Chief of Staff
THE ORGANIZATION:
As a legacy of the 1984 Olympic Games, the LA84 Foundation continues to be a nationally recognized leader in support of youth sport programs and elevating the importance of sports in positive youth development. LA84 seeks to provide an opportunity for every child to participate in sports and experience the wide range of positive outcomes associated with youth sport participation. Since its launch in 1985, LA84 has invested millions in the communities that supported the Games, reaching more than 3 million youth throughout Southern California, from Santa Barbara to San Diego County. The LA84 Foundation
continues to promote the spirit of the 1984 Olympic Games by convening and engaging local, national and international audiences about the role of sport in society, and the impact of the Olympic Games on host cities. Reporting directly to the President + CEO, the Vice President/Chief of Staff (COS) serves as strategic advisor and counsel, assumes day‐to‐day responsibility for strategic priorities, special projects, and maintains cross‐departmental relationships to ensure achievement of annual key performance indicators, as well as advancement toward long‐term social impact goals. This position requires a unique background in a
multitude of different operating and leadership experiences within the fields of philanthropy, government policy and/or corporate social responsibility. The successful candidate must an adaptable, organized, strategic thinker and influential collaborator with strong communications competences.RESPONSIBILITIES:
Direct Support of the CEO

Strategically managing a CEO’s time: working with CEO’s executive assistant, looking at long term travel calendar, evaluating opportunities and determining fit with priorities and working with EA to ensure CEO has necessary information and background for key meetings.

Reviewing Internal and External Communications: drafting board communications/newsletters, reports, pitch decks, speeches or presentations for the CEO.

Monitoring information flow: Sometimes acting as a gatekeeper, ensuring a CEO’s involvement in a project or decision‐making process at the right moment.
Strategic Planning
-
Communicating and implementing a foundation’s strategy internally and externally so that all employees, partners, suppliers, and contractors understand the company‐wide strategic focus and how it carries out the company’s overall social impact goals.

Work with the CEO to advance key strategic priorities, translate them into a comprehensive implementation plans and work with management team to ensure execution to stated goals.

Ensuring departmental/unit strategic planning projects reflect organizational strategic priorities.

Partnering and managing relationships with institutional leadership, boards, special committees, and consultants to support execution of key initiatives.
Project Management

Overseeing cross‐functional organization‐wide key projects and/or strategic initiatives.

Bring together multiple stakeholders and help drive decisions and impact.

Researching, benchmarking, analyzing data, and making recommendations.

Creating systems and processes to streamline operations.
Meeting & Event Preparation
-
Managing the meeting topics and cadence for the board of directors and leadership team, ensuring materials are sent in advance, time is well spent, and strategic objectives are achieved.
REQUIREMENTS:
-
A minimum of 10 years’ experience with strong leadership and management abilities.
-
Strong executive presence, presentation style and written/verbal communication skills.
-
Strategic thinker with ability to extract insight, identify issues from data, metrics and external trends and build robust approaches to our impact work.

Ability to translate and communicate complex topics in a variety of forums, tailoring communications to effectively fit and influence the targeted audience.

Experience with application of a variety of strategic frameworks to analyze problems and to guide and develop solutions.

Solid interpersonal capacity with ability to work collaboratively and engage cross‐functional network of colleagues toward advancement of goals.

Ability to work on multiple projects with overlapping timelines. Ability to quickly digest and prioritize information.

Knowledgeable about the issues of equity, sport‐based youth development, advocacy and other issues impacting youth development.

Master’s Degree or an equivalent combination of a bachelor’s degree and experience.

Proven track record with strategy planning, development, and execution.
WORKING CONDITIONS:
- General office environment, depending on health and safety precautions. (COVID‐19 considerations: temporary remote work according to the County health guidance and protocols with in‐person and onsite work based on work duties)

POSITION SUMMARY:
Reporting directly to the Director, Grants & Programs, the Program Associate is responsible for coordination and administrative support to various projects, initiatives and programs; as assigned. The role requires analytical and communication skills to appropriately prioritize duties; engage and work collaboratively with the team in a proactive and positive style; and to produce results on time with meticulous attention to detail. S/he will be involved with a large range of contacts ranging from entry-level to extremely high-level and may be exposed to sensitive information requiring discretion, good judgement and confidentiality. S/he will also coordinate/interface with other departments. This position requires comfort and agility in working in a fast-paced work environment and requires the ability to well-represent the organization to external audiences by phone and email.
RESPONSIBILITIES:
- Project and Research Support:
- Researches and analyzes trends and issues of importance to LA84 from written materials, interviews, community meetings, online resources, or other useful sources. Presents findings in written and oral formats to program officers and others as appropriate.
- Generates reports and analyses data from the Foundation’s grants management database.
- Assists with special projects for LA84, ensuring a thoughtful and measured process, timely preparation and coordination of key activities and materials focused on partners, review panels, advisory committees, and LA84’s Board of Directors.
- Maintains accurate database of initiative partners and records (i.e., minutes, meeting materials, invoices, vendor contracts etc.), coordinates special project timelines and handles meeting/events logistics.
- Interacts with grantee and community partners to collect and maintain various data projects with multiple parties.
- Grants Management and Analysis:
- Monitors and reports regularly to program officers on proposals and the grant process including grant agreements, progress reports, payment requests, and other related correspondence.
- Updates and maintains databases.
- Works closely with the Grants + Programs Team to develop new reports and improve processes.
- Communicates and meets with grantees, as directed.
- Assists with the intake, review, and processing of grants, as needed.
- Under the direction of their manager or program officer, assists with review of applications for funding support through written analysis, site visits, knowledge of the field, interviews with other funders and comparisons with other funding requests, as needed.
- Coordination:
- Collaborates with the LA84 interdepartmental teams to lead coordination of regular communications, project team meetings, convenings, dissemination of reports, etc.
- Outreach:
- Seeks opportunities to inform nonprofit organizations of opportunities to partner with the foundation. Builds and maintains relationships with project stakeholders, grantees, community leaders, policy makers.
- Internal Integration of Work:
- Identifies opportunities for and integrates the functions and skills of Grants + Programs, Research, Collections, and Partnerships + Events to drive successful strategic outcomes for the organization.
- Engages with internal and external resources to secure necessary competencies.
- General:
- As appropriate, assists other departments and works as a member of interdepartmental teams to ensure the effective and efficient operations of LA84.
- At all times, demonstrates cooperative behavior with supervisors and coworkers.

REQUIREMENTS:
- Associate degree. Bachelor’s degree would be a plus.
- 3-5 years of experience in event/meeting coordination with increasing responsibilities.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook), Sharepoint, OneDrive, Teams and other online meeting platform skills.

POSITION SUMMARY:
Reporting to the Director, Marketing & Communications, the Associate is responsible for supporting the coordination of overall social engagement strategy and schedules for all relevant social platforms, website content updates, working with internal teams and partners on brand development, social promotion strategies, content amplification, audience engagement strategies, and managing social coverage of live events (for both LA84 and the Play Equity Fund). This position will have a focus on capturing and editing video assets. Strong project and time management skills are a must.
RESPONSIBILITIES:
- Support the management and coordination of overall communications strategy for LA84 Foundation and the Play Equity Fund across platforms, inclusive of email campaigns, social
media, websites, PR, events, B2B and B2C campaigns and others. - Support the audience engagement strategy, social media content strategy and production, and the programming/scheduling strategy for all relevant social platforms, working with internal teams and external consultants/advisors.
- Assist with the copywriting functions of the organization for any communications material, collaborating with internal stakeholders and external partners, advisors and consultants.
- Support executing social promotion strategies, fan engagement strategy and execution, and managing social coverage of live events (for both LA84 and the Play Equity Fund).
- Support creation of social-first content assets for brand development and marketing initiatives, creating and distributing custom content for larger initiatives.
- Facilitates all paid social media strategies for the organization.
- Work closely with the Director, Marketing & Communications, Chief Strategy Officer and the CEO to gather and operationalize strategic insights from analytics and historical data, establish benchmarks, and work toward KPIs and goals.
- Supports the social media marketing strategy and execution for key initiatives as The LA84 Sports Summit, the Play Equity Movement campaign, Play Day and others.
- Assists in executing the influencer marketing strategy for the organization and specific key
initiatives. - Other roles and responsibilities as assigned.
REQUIREMENTS:
- Minimum 3 years experience in social media marketing or digital content creation.
- Minimum 1 year experience in email marketing or newsletter creation and distribution.
- Extensive social media knowledge and content development experience.
- Excellent writing and editing skills with the ability to align creative strategy with overall business objectives.
- Advanced video production and editing skills using various software including video capture using mobile devices or small portable cameras like GoPro and similar.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook), SharePoint, OneDrive, Teams and other online meeting platform skills.
- Proven competency across social platforms including Facebook, Twitter, Instagram, TikTok, Snapchat and YouTube, as well as staying up to date on emerging platforms.
- Advanced skills in WordPress, Adobe Photoshop/Illustrator/Premiere/After Effects, Sprinklr publishing and reporting, Facebook ad manager, Facebook Business Manager Insights,
Powerpoint presentation and various social media reporting tools (Shareablee, ListenFirst, Tubular, Crimson Hexagon, others). - Proven experience across email marketing and newsletter platforms.
